ThinkMarkets has an exciting opportunity for an Executive Assistant (EA) to join our Chicago office and support our Chief Executive Officer. The EA is an integral part of our global administrative team and will provide complete support to our CEO in areas such as calendar management, international travel coordination, board meeting management, and more. The right candidate will be someone with experience working at a financial services and/or trading company, who is adaptable and thrives in a fast-paced work environment. Responsibilities:

  • Provide complete executive and administrative support to the CEO
  • Manage a complex calendar and schedule meetings and appointments
  • Prepare PowerPoint Presentations, coordination action items across global offices, and prepare follow up summary items
  • Coordinate management meetings, departmental status follow ups, and update SharePoint, Confluence and JIRA as needed
  • Manage and prioritize the week based on demand and key deliverables for the week ahead through proactive planning, and outreach to the global teams.
  • Coordinate board meetings and prepare related materials for preparation
  • Maintain confidential files including but not limited to legal and commercial documents
  • Manage and take minutes of both internal and external meetings, as well as host webinars and conference calls

 

Requirements:

  • 5-10 years of experience as an Executive Assistant for a C-Suite level Executive
  • Associate degree or higher in Business Administration or related is preferred but not required
  • Global corporate experience in the financial services and/or trading industry is a must
  • Excellent written and verbal communication skills, with a strong attention to detail
  • Highly organized with strong time management and prioritization skills
  • Advanced knowledge in Microsoft Office 365 suite, Zoom, Slack, and Confluence
  • Highest level of professionalism and confidentiality
  • Flexibility to work in a fluid and ever-changing environment
